EDUCATIONAL VISITS – BOOKING, PAYMENT, AND CANCELLATION POLICY

AIM
1.1 Guidance for schools and groups regarding booking Educational Visits, payments and the cancellation of visits when needed.

2.0 PAYMENT
2.1 Schools and groups will be invoiced after the visit via email.
2.2 Schools will not be invoiced for supporting adults.
2.3 Payments are by BACS transfer or cheque.

3.0 BOOKING
3.1 All Educational visits by schools and groups need to be booked in advanced.
3.2 Booking form needs to be completed in full prior to the visit.
3.3 The Educational Lead will liaise with the school/group leader to finalise the booking.
3.4 The final programme for the visit will be emailed to the school/group leader, two weeks prior to the visit.
3.5 Schools need to give 21 days’ notice if a change to the date of the visit is required.
3.6 Booking changes may be possible depending on availability. If changes can be accommodated the changes will be confirmed via email.

4.0 CANCELLATION
4.1 Schools need to give the museum a minimum of twenty-one calendar days’ notice in writing (including email) of a visit cancellation.
4.2 School cancellations received in writing up to twenty-one calendar days before the visit will incur no charge.
4.3 School cancellations received in writing less than twenty-one calendar days’ will be invoiced for 25% of the price for each child booked in the original booking.
4.4 If the museum needs to cancel the visit, the Educational Lead, will contact the school/group leader to re-arrange the visit for a mutually convenient time. If it is not possible to reschedule, no invoice will be issued.
4.5 If the museum cancels the visit, the museum will not reimburse travel costs, or any other costs incurred.
4.6 A visit cancelled or postponed by either by a school/group leader or the museum due to government guidance on the corona virus current at the time of the visit can be made with fewer than 21 days’ notice and no invoice will be issued.

5.0 LATE ARRIVALS
5.1 Late arrivals will not receive a refund.
5.2 The museum will be informed on the day if there are any travel delays. A late start to a visit is at the museum’s discretion and the museum cannot guarantee to offer the full itinerary.

6.0 BEHAVIOUR
6.1 Disruptive behaviour in the museum may result in a group being asked to leave, accompanied by their adult.
6.2 The museum will not provide a refund in these circumstances.

7.0 PERSONAL BELONGNGS
7.1 The museum accepts no responsibility for loss, theft, or damage to personal items.
